How a Georgian notarized translation differs from Vietnamese công chứng bản dịch
Vietnamese clients know the bản dịch công chứng from the Phòng Công chứng or Phòng Tư pháp at home; the mechanism in Georgia is similar but the jurisdiction is different. A Georgian notary certifies the signature of a translator personally registered with that notary as competent in Vietnamese; the translation is bound to a copy of the original, stamped and numbered, and becomes a Georgian notarial document that every state body must accept. A translation certified in Vietnam is, from Georgia's point of view, a foreign document that would itself need legalization and would then still need to be translated, so it is never the efficient route. Do not pay for a certified translation in Vietnam for use in Georgia. Have the original legalized, bring it or a good photo of it, and have the translation done here where it will be used.
Names, diacritics and transliteration
This is the technical heart of Vietnamese-Georgian work. Vietnamese names carry tone marks and diacritics that distinguish different names, and Vietnamese passports print the name in unaccented Latin capitals, which is what Georgian offices see first. Georgian has no tones and its transliteration of Vietnamese is not standardized by any official table, so a careless translator produces three spellings of the same person across a passport translation, a diploma translation and a marriage certificate, and the Public Service Development Agency rejects the file. We fix the Georgian spelling of your full name at the first translation, following the passport's Latin form and Georgian phonetic rules, record it on file, and use it on every subsequent document. We also preserve the full accented Vietnamese form in the translation's reference line so the original identity is traceable. Family name order - Vietnamese names lead with the family name - is annotated so that Georgian forms, which expect the family name last, are filled in correctly.
Students: admission and the student residence permit
Vietnamese students are the largest Vietnamese group in Georgia, enrolled mainly in English-language medicine, dentistry, pharmacy and IT programs at universities in Tbilisi, Batumi and Kutaisi. Admission requires a notarized Georgian translation of the bằng tốt nghiệp trung học phổ thông (high school diploma) with the học bạ (transcript), or of the previous university degree and bảng điểm for master's admission, and the student residence permit requires the passport and the lý lịch tư pháp (judicial record certificate No. 1 or No. 2) translated and notarized. The academic and police documents must be consular-legalized before notarization; the passport is not. Universities accept certified translations with our stamp for the initial application and require notarized versions for enrollment, and we handle the sequence so the student is not caught between the two.
Workers: employment contracts, work permits and residence
Vietnamese workers come to Georgia under employment contracts with Georgian companies in construction, agriculture, hospitality, textiles and manufacturing, often through licensed labor export companies in Vietnam. The Georgian work-based residence permit needs a notarized Georgian translation of the passport, the lý lịch tư pháp (legalized), and often the vocational certificate or diploma (legalized); the employer's contract is usually drafted in Georgian and English and we translate it into Vietnamese so the worker signs what they understand, which Georgian labor inspectors increasingly expect. We work with employers and labor export companies on group files, processing a crew's documents as one project with consistent formatting, shared transliteration rules and a single invoice, which keeps the cost per worker low and the residence permit applications uniform.
Business, banks and family documents
Vietnamese entrepreneurs opening restaurants, trading companies and travel agencies in Georgia register LLCs or individual entrepreneur status at the House of Justice with a notarized translation of the passport, and for corporate founders the giấy chứng nhận đăng ký doanh nghiệp, điều lệ công ty and founding decision, legalized in Vietnam and translated here; giấy ủy quyền from Vietnam to a Georgian representative is legalized and translated the same way. Georgian banks ask for translated proof of income and source of funds. Family documents - giấy khai sinh for children, giấy chứng nhận kết hôn for spouses, giấy xác nhận tình trạng hôn nhân for marriage in Georgia - are legalized in Vietnam and translated and notarized here for the House of Justice and the Public Service Development Agency.
Georgian documents notarized for Vietnam, and certified translation without a notary
Georgian documents going to Vietnam - diplomas of Vietnamese graduates of Georgian universities, marriage certificates of couples who married in Georgia, birth certificates of children born in Tbilisi, court decisions and Public Registry extracts - are translated into Vietnamese and notarized here, then certified at the Georgian Ministry of Foreign Affairs and legalized by the Vietnamese embassy accredited to Georgia. Vietnamese authorities, universities and notaries then accept them; the Vietnamese Ministry of Education's recognition of foreign degrees (công nhận văn bằng) has its own submission rules that we follow for Georgian medical and dental graduates.
Not every recipient needs the notary. Universities for initial applications, employers, landlords, insurers and online platforms often accept a certified translation with our agency stamp, which is quicker and cheaper. Georgian courts, registries, the Public Service Hall and banks do not. Tell us who will receive the document and we recommend the right level; a certified translation can be upgraded to a notarized one later without re-translating, and our e-Notary option produces a PDF with a qualified electronic signature that Georgian registries accept online.
