What a student status letter says, and who asks for it

A student status letter (enrollment certificate, certificate of studies, "tsnoba studentis statusis shesakheb", Immatrikulationsbescheinigung, attestation de scolarité, certificato di iscrizione, "spravka s mesta ucheby") is a letter from a university's registrar confirming that a named person is enrolled in a named program at a named level, the year of study, the expected date of completion, sometimes the mode of study and tuition status, signed and sealed. It is asked for by consulates issuing student and visitor visas, by immigration offices granting and renewing student residence permits, by banks opening student accounts and assessing loans, by landlords, by employers of student workers, by scholarship bodies, by military registration offices at home that defer conscription for students studying abroad, by pension and family benefit agencies that pay for dependent children in education, by health insurers, by transport operators offering student fares and by the universities themselves in exchange and transfer procedures. It expires quickly, because it describes a status that changes each semester, and most offices want one issued within the last month or the current semester.

Georgian enrollment certificates for use abroad

Students at Georgian universities - Georgians and the tens of thousands of international students from India, Nigeria, Central Asia, Turkey, Iran and elsewhere - need their Georgian enrollment certificate translated for authorities in other countries: a Georgian student applying for a Schengen visa to attend a summer school, an exchange semester or a conference translates it for the consulate; an international student's family at home presents it to a military registration office to maintain a deferment (Uzbek, Turkmen, Kazakh and Tajik students in particular, whose registration offices require the certificate every year), to a pension fund paying a survivor's benefit for a student, or to a bank; a student transferring abroad presents it with the transcript. Georgian universities issue the certificate in Georgian and, on request, in English; we translate it into the language of the receiving office - Russian, Uzbek, Turkmen, Hindi, Turkish, Persian or any other - notarize it, and apostille it through the education verification route where a foreign authority requires legalization, which some military registration offices and pension funds do.

Foreign enrollment letters for use in Georgia

Foreign enrollment letters arrive in Georgia for two main purposes. Students admitted to Georgian universities who are still enrolled elsewhere, exchange students, and students of foreign universities studying remotely from Georgia present their home university's enrollment letter to the Public Service Development Agency for a residence permit, to banks and to landlords; and parents in Georgia whose children study abroad present the child's enrollment letter to Georgian pension and social agencies, to employers for family benefits, to banks as part of a source-of-funds explanation for tuition transfers, and to the Revenue Service. The Agency and the Revenue Service require a notarized Georgian translation; banks and landlords usually accept a certified one. Enrollment letters issued electronically, with a QR code or a verification link, which is now the norm in Europe and North America, are verified through the code and translated with a note on the electronic form.

Validity, wording and what offices check

Because a status letter describes a moving target, offices check its date first, and a letter issued for a previous semester is refused; we advise obtaining it as close to the submission as possible and translate it within hours so that it is still current. Offices also check that the letter states what they need: a consulate wants the program, the level and the dates of the trip's academic purpose; an immigration office wants the expected completion date and, for renewals, confirmation of progress; a military registration office wants the form of study (full-time, in person) and the exact dates; a benefit agency wants the student's date of birth and the level of study. We translate the letter as issued and, where it lacks something the office is known to want, tell the student before the university issues it so that the wording can be adjusted. Names are transliterated as in the passport, and the university's name is rendered consistently with its official English name.

Pricing, timing and how to order

Student status letters and related certificates are priced at a fixed rate per document, whatever the language, with a modest supplement for rare languages, plus the notary's fee where notarization is required; the apostille at the state fee plus handling. Translation takes 1-2 hours from the moment the letter is with us, and a certified PDF for online submission is delivered within the same time.

To order, send a photo or the PDF of the letter on WhatsApp or Telegram and tell us the receiving office and country; the quote arrives within 15 minutes with the level we recommend. For a notarized translation of a Georgian letter, bring the original to Agmashenebeli 117, near Marjanishvili Metro, or courier it from Kutaisi, Batumi or any other university city; for foreign letters, the original or the verified electronic document. Delivery is by scan when the notary signs, by collection, by same-day courier in Tbilisi or by courier anywhere.

Frequently asked questions

Does a student status letter need to be notarized?+
For consulates, immigration offices, military registration offices and pension or benefit agencies, usually yes; for banks, landlords and employers, a certified translation is often enough. We advise per office.
My home military registration office wants the certificate every year. Can you handle it regularly?+
Yes. Many Central Asian students order it each semester; we keep the wording consistent, translate within hours and apostille it where the office requires legalization.
The letter is a PDF with a QR code. Is that accepted?+
Yes. We verify it through the code, translate it and note the electronic form; Georgian and most foreign offices accept it, and notarization is added with a printout where required.
How recent must the letter be?+
Most offices want it issued within the last month or the current semester. Obtain it close to the submission date; we translate it within 1-2 hours.
