How a Georgian notarized translation differs from a Ukrainian нотаріальний переклад

Ukrainians know the нотаріально засвідчений переклад well; the mechanism in Georgia is the same, but the jurisdiction is different. A Georgian notary certifies the signature of a translator personally registered with that notary as competent in Ukrainian. The translation is bound to a copy of the original, stamped and numbered, and from that moment it is a Georgian notarial document that every state body must accept. A translation notarized by a Ukrainian notary is, from Georgia's point of view, a foreign notarial act that would need to be recognized under the treaty and then still translated, so it is never the efficient route. The practical advice is simple: do not pay for a notarized translation in Ukraine for use in Georgia. Bring the original, or a good photo or Diia PDF, and have the translation done here where it will actually be used.

Diia electronic documents: what Georgian offices accept

Since 2020 many Ukrainian documents exist primarily in the Diia app: the ID-card and foreign passport, the driving license, birth certificates of children, the довідка про несудимість, student cards, and since 2022 a growing list of certificates issued as PDFs with QR verification. Georgian authorities have adapted at different speeds. The Public Service Development Agency generally accepts translations of Diia passports and driving licenses for residence permit purposes; banks accept Diia ID data for account opening in most cases; schools accept Diia birth certificates for enrollment. Some offices - notably for marriage registration and for certain Public Registry transactions - still require a paper original or a paper extract from the Ukrainian registry. We translate the Diia PDF in full, including the QR code block and the verification text, notarize the translation, and tell you in advance if the office you are dealing with has been asking for paper, so you can request a paper extract through a Ukrainian consulate or a relative before you need it.

Residence permits, work permits and the Ukrainian-language file

Georgian temporary residence permits - work, study, family, the labor permit for freelancers, and the permits sought by relocated IT specialists - are handled by the Public Service Development Agency and require a notarized Georgian translation of every foreign document in the file. For Ukrainians that typically means the foreign passport or ID-card, the довідка про несудимість from the МВС (obtainable through Diia or a Ukrainian consulate), a marriage or birth certificate if family members are included, a diploma for work-based permits, and bank statements or an employment contract as proof of income. Under the treaty these documents normally do not need an apostille. We assemble the full set in one order, keep the transliteration of your name identical across all documents - a real issue, since Ukrainian passports carry a Latin transliteration that Georgian offices expect us to follow - and notarize everything in a single notary session.

Schools, universities and children's documents

Ukrainian families enrolling children in Georgian public schools, in Ukrainian-language and Russian-language sector schools or in international schools present the child's birth certificate, previous school records (особова справа extract, табель, атестат for older students) and vaccination records. Schools generally accept certified translations with our stamp for placement; the Ministry of Education's recognition of prior schooling requires notarized ones. Students entering Georgian universities need notarized translations of the атестат with the ЗНО or НМТ results, or of the previous diploma, and of the passport and довідка for the student residence permit. Children's documents from Diia are accepted by most schools. We turn school sets around the same day, because enrollment windows are short.

Bank compliance and business documents

Georgian banks apply enhanced checks to many foreign clients, and their compliance departments ask Ukrainian clients for translated employment contracts, income statements, tax declarations, property sale agreements, dividend records and, for business accounts, company documents. Certified translations with our stamp are usually enough for compliance review; notarized ones are required for account opening and large transfers. Individual entrepreneurs and LLCs founded by Ukrainians need a notarized translation of the founder's passport, and for corporate founders the витяг from the ЄДР, статут and founding decision; повіреності from Ukraine to a Georgian representative are accepted under the treaty without apostille by most offices. Once the Georgian company exists, its Public Registry extract and charter are translated into Ukrainian for the founder's Ukrainian banks, tax authority and partners.

Georgian documents notarized for Ukraine, and certified translation without a notary

Georgian civil status certificates, court decisions, Public Registry extracts, diplomas and medical records going to Ukraine are translated into Ukrainian and notarized here. Under the treaty, Ukrainian ДРАЦС offices, courts and the Pension Fund generally accept them without apostille; universities and some employers ask for one, and we obtain it when needed. Typical uses are registration in Ukraine of a marriage concluded in Georgia, Ukrainian passport applications for children born in Tbilisi, Ukrainian pension applications with Georgian employment records, and inheritance cases involving property in both countries.

Not every recipient needs the notary. Universities, employers, landlords, insurers and online platforms often accept a certified translation with our agency stamp and the translator's signed statement, which is quicker and cheaper. Georgian courts, registries, the Public Service Hall and banks do not. Tell us who will receive the document and we recommend the right level; a certified translation can be upgraded to a notarized one later without re-translating, and our e-Notary option produces a PDF with a qualified electronic signature that Georgian registries and the Revenue Service accept online.

Ukrainian translation - frequently asked questions

I have a translation notarized in Kyiv. Can you just stamp it?+
No, but we can review it. If the translation is accurate, our registered translator signs it and the Georgian notary certifies that signature; the price is lower than a new translation. If it is not accurate, we re-translate.
Which name spelling will you use in Georgian?+
We follow the Latin transliteration printed in your Ukrainian passport, converted to Georgian by the official rules, and keep it on file so every document matches. If you already have a Georgian document with a spelling, send it and we match that.
Does the Public Service Development Agency accept a Diia довідка про несудимість?+
In current practice yes, translated and notarized including the verification block. If the officer asks for a paper version, a consulate or a relative in Ukraine can obtain one; we flag this risk in advance for your specific case.
How long does a residence permit document set take?+
A standard set of four to six documents is translated and notarized the same day, usually within a few hours of receiving the originals or Diia files.
