How Mongolia certifies translations, and the Georgian notarized translation

Mongolia has no register of sworn translators. A translation acquires official status when a notary certifies the translator's signature and qualification, and licensed translation bureaus' stamped translations are accepted by many offices for administrative purposes; a translation made and notarized abroad is a foreign notarial act, which Mongolian authorities accept when it carries an apostille, though the civil registration authority, the immigration agency, courts and many notaries prefer, and sometimes insist on, a translation notarized in Mongolia. Mongolian is the state language, and since the 2025 introduction of the traditional script alongside Cyrillic for state documents, some offices issue and expect documents in both; English is accepted by the Ministry of Education, universities and business registries for many purposes. Georgia has the translation notarized by a Georgian notary, who certifies the signature of a translator registered as competent in Mongolian.

We translate the Georgian original into Mongolian here, notarize it, apostille the original and, where a Mongolian office prefers local notarization, have the text re-notarized by a partner notary in Ulaanbaatar with a local translator's signature, which avoids a second translation. A Mongolian notarized translation is, from Georgia's point of view, a foreign document; for use in Georgia the translation must be notarized here.

Athletes, coaches and federations

The most distinctive Mongolian file in Georgia is the athlete's. Mongolian judoka, wrestlers and coaches training or competing in Georgia, and Georgian ones going to Mongolia, generate contracts with clubs and federations, invitation letters for visas, federation registration documents, anti-doping and medical documents, accreditation files for tournaments, and, for longer stays, work and residence permits; Mongolian coaches hired by Georgian clubs and the Georgian federations need their coaching qualifications, employment contracts and personal documents translated for the Public Service Development Agency, and Georgian coaches in Mongolia need theirs for the Mongolian immigration agency and the federations. We translate these with the terminology of the International Judo Federation, United World Wrestling and the national federations' rules, on the compressed timelines of tournament and training schedules, and we provide interpreters for negotiations, signings and medical examinations.

Mongolian documents for Georgian residence permits, universities and marriage

Mongolian citizens who stay in Georgia beyond their visa or visa-free period - athletes, students, spouses, employees of mining and trading companies - present Mongolian documents apostilled by the Ministry of Foreign Affairs and translated into Georgian and notarized here. For a residence permit: the passport (translated from a photo, no visit needed) and a criminal record certificate from the police, issued through e-Mongolia or in person; for a family permit or marriage at the House of Justice: the birth certificate, marriage certificate or a certificate of marital status from the civil registration authority; for university admission: the school certificate with its transcript, the medical certificate and, for some programs, the criminal record certificate, with the National Center for Educational Quality Enhancement recognizing the school certificate for enrollment; for work permits and recognition: the diploma and transcript; for company registration: the state registration certificate, charter and a power of attorney. We also offer e-Notary certification with a qualified electronic signature.

e-Mongolia documents and how Georgian offices treat them

Mongolia's e-Mongolia portal issues a growing list of certificates digitally with a QR code and an electronic signature - the criminal record certificate, certificates of registered address and family composition, marital status certificates, birth and marriage certificate copies, and extracts from the business register - and Georgian offices meet these in residence permit, university and business files. We verify the document through its QR code, translate it, and notarize the translation attached to a printout with a translator's note explaining the electronic form; the apostille for such documents is obtained from the Ministry of Foreign Affairs, which can apostille electronic documents in some cases and requires a paper original in others, and we tell you which applies. Paper documents with wet stamps are handled the classic way.

Georgian documents in Mongolia: civil registration, immigration, education and courts

Georgians living, working or marrying in Mongolia, Georgian companies operating there, and Mongolian citizens registering Georgian events at home present apostilled Georgian documents with notarized Mongolian translations: for marriage at the civil registration authority, the Georgian birth certificate and certificate of marital status; for registration of a Georgian marriage or birth, the Georgian certificate; for a work permit through the Ministry of Labor's quota system and residence through the immigration agency, the diploma, conviction certificate and civil status certificates; for the Ministry of Education's recognition of Georgian diplomas of returning graduates, the diploma, supplement and transcript; for courts and notaries, judgments and notarial documents. We prepare the translations in the form Mongolian offices expect, notarize and apostille them, and arrange re-notarization in Ulaanbaatar where the office asks.

Certified translation without notarization, and when it is enough

Not every recipient needs the notary. Universities reviewing an application before enrollment, employers, sports federations for accreditation and preliminary registration, landlords, insurers and online portals accept a certified translation with our agency stamp and translator statement, which is quicker and cheaper. The Public Service Development Agency, the National Center for Educational Quality Enhancement, Georgian courts, registries and banks, Mongolia's civil registration authority, immigration agency and courts do not. Tell us who will receive the document and we recommend the right level; a certified translation can be upgraded to a notarized one later without re-translating. For clients who submit documents online - university portals, the Georgian e-services, e-Mongolia - we issue digitally signed PDFs, and we print, stamp and courier the same file when paper is required.
